How to Download Facebook Lead Ads Leads (and Get Them Automatically)
Three ways to get leads out of Facebook and Instagram lead ads: manual CSV download, Google Sheets automation, or a CRM. Plus the 90-day limit to know.
You ran a lead ad, people filled in the form, and now you need their details. Meta doesn't email them to you, and Ads Manager doesn't show a phone number next to each result. The leads are sitting in Meta, waiting for you to collect them.
This guide covers the three ways to get them out: a manual download, an automation tool, and a CRM that pulls them in for you. It also explains the 90-day limit that catches a lot of advertisers out.
The 90-day rule you need to know first
Meta only keeps lead form submissions available to download for 90 days. After that, they're gone from your account and Meta won't recover them.
If you run lead ads and only download "when you get round to it," you will eventually lose leads you paid for. Whichever method you choose below, make sure it runs well inside that window. Ideally, it should run within minutes, not weeks (more on why in the speed section).
Method 1: Download leads manually as a CSV
This is the quickest way to get a one-off export and costs nothing.
- Open Meta Business Suite and select the Page that runs your lead ads.
- Go to All tools, then Instant Forms. Depending on your account, you may see this under the Leads Center or Leads setup area instead. Meta moves these menus around fairly often.
- Find the form your ad uses. Each form shows how many leads it has collected.
- Click Download, pick a date range, and choose CSV or XLS.
You'll get a file with one row per lead, including the standard fields (name, email, phone) and every custom question on the form.
Tip: if a column of Indian or international phone numbers shows up in scientific notation in Excel, import the CSV through Data → From Text/CSV and set the phone column to Text, instead of double-clicking the file.
When manual downloads stop working
Manual export is fine for a test campaign. It breaks down quickly once leads arrive every day:
- Someone has to remember. Exports happen when a person finds time, which often means the next morning.
- Leads go cold. A lead downloaded 18 hours after it came in is a much weaker lead than one called in the first five minutes.
- Duplicates pile up. Overlapping date ranges mean the same person appears in several spreadsheets.
- Nobody owns the lead. A shared spreadsheet has no "assigned to" and no record of who called whom.
Method 2: Send leads to Google Sheets or email with an automation tool
Tools like Zapier, Make and n8n can watch a lead form and push each new submission into a Google Sheet, an email or a Slack message.
What's good about it:
- Leads arrive within minutes, without anyone clicking Download.
- It's a reasonable step up for one or two forms.
Where it falls short:
- You still end up working leads from a spreadsheet. There's no pipeline, no follow-up reminders and no history of calls.
- Each form usually needs its own automation, and paid plans are priced per task. Busy campaigns use a lot of tasks.
- When a connection expires, leads quietly stop arriving until someone notices.
- Nothing goes back to Meta, so your ads keep optimising for form fills rather than buyers.
Method 3: Connect lead ads directly to a CRM
A lead ads CRM connects to your Facebook Page and instant forms once, then brings every new lead in automatically. Instead of a row in a sheet, each lead becomes a record with an owner, a status and a timeline.
Here's how it works in TracelyCRM:
- Connect Meta once. Paste a system user token from your Business Manager along with your Page ID. TracelyCRM checks the token and tells you exactly what to fix if a permission is missing.
- Pick your forms. Choose which instant forms to bring in, including forms running on Instagram placements.
- Past leads come in too. When you select a form, its existing leads import in the background, back to Meta's 90-day limit. Anything at risk of expiring gets saved.
- New leads keep arriving. Forms are checked every two minutes, with a "Sync now" button if you want a lead immediately.
Each lead arrives with the ad, ad set, campaign and form it came from, plus every answer to your form questions, custom ones included. Duplicates are matched by phone and email and added to the existing lead's timeline instead of creating a second record.
Then the lead goes straight to work:
- It's assigned to a rep by round-robin or a fixed owner, and that rep gets an alert. See lead routing.
- A response-time target flags leads that haven't been contacted, so none sit overnight.
- As the lead moves through your pipeline, those stages can be sent back to Meta through the Conversions API, so Meta learns which leads actually buy.

Which method should you use?
| Your situation | Best fit |
|---|---|
| Testing one campaign, under 20 leads total | Manual CSV download |
| One or two forms, one person calling everyone | Automation to Google Sheets |
| Leads every day, more than one person following up | A lead ads CRM |
| Running lead ads for several clients | A CRM with separate client workspaces |
Why speed matters more than the export method
The real cost of manual downloads isn't the clicks. It's the delay. People who fill in a lead form are usually comparing options right then. A widely cited Harvard Business Review study of online leads found that companies which responded within an hour were nearly seven times as likely to qualify the lead as those that waited even one hour longer.
If your leads currently reach a salesperson the next day, fixing the delay will do more for your cost per sale than almost any change to the ad itself. We cover this in detail in Speed to lead: why the first reply wins the deal.
Frequently asked questions
Can I download Facebook leads older than 90 days?
No. Meta removes lead data from your account after 90 days. If you need older leads, the only copy is whatever you exported or synced before then.
Do Instagram lead ads download the same way?
Yes. Lead ads on Instagram placements use the same instant forms, so their leads appear in the same form download and come through the same CRM connection.
Why are some phone numbers missing or wrong?
Meta prefills contact details from the person's profile, and some people never update them. Adding a qualifying question or using the "Higher intent" form type helps. Our guide on why Facebook leads are low quality covers the fixes.
Do I need a developer to connect lead ads to a CRM?
Not with TracelyCRM. You need admin access to your Business Manager to create a system user token, and the in-app guide walks through each step. Most teams are set up in about 10 minutes.
