Real Estate Lead Management: Stop Losing Portal and Ad Leads
Bring 99acres, MagicBricks, Bayut, Meta and website leads into one inbox, assign them instantly and follow up until the site visit is booked.
Real estate teams rarely have just one lead source. A typical week brings enquiries from Facebook and Instagram lead ads, Google Ads, the website, two or three property portals, WhatsApp, walk-ins and referrals.
Each source has its own dashboard, its own email alerts and its own way of losing leads. The result is familiar: a buyer enquires about a 3BHK on a portal at 9pm, the alert sits unread in someone's inbox, and by the time the team calls the next afternoon, the buyer has already booked a site visit elsewhere.
This guide covers a simple system for handling real estate leads from every source, so fewer of them slip through.
Where real estate leads get lost
Before fixing anything, it helps to know where the leaks are:
- Scattered sources. Portal leads live in portal dashboards, ad leads in Meta, website leads in email. Nobody sees all of them in one place.
- Duplicates. The same buyer enquires on two portals and your ad. Three reps call them, or nobody does because "someone else probably has it."
- No clear owner. Leads shared in a WhatsApp group get "seen" by everyone and actioned by no one.
- Slow first contact. Buyers are comparing projects in real time. The first agent to call usually gets the site visit.
- Follow-up stops too early. Many buyers need several touches over weeks. Most teams try once or twice and move on.
- No idea which source pays. Without tracking leads through to bookings, you keep paying for portals and campaigns that produce enquiries but not sales.
Step 1: Bring every lead source into one inbox
The first goal is that every enquiry, from every source, lands in one place within minutes, without anyone copying details by hand.
How each source typically connects:
- Meta lead ads: connect your Page and instant forms directly. See how to get Facebook leads automatically.
- Google Ads lead forms: use the lead form webhook so each submission is pushed to your CRM.
- Website and landing pages: add your CRM's form or capture the forms you already have.
- Property portals such as 99acres, MagicBricks, Housing.com, Bayut, Property Finder, Rightmove, Zoopla and Zillow: most send an email for each enquiry. Forward those emails automatically to your CRM's lead address and each one becomes a lead. Some portals also offer a push API for direct delivery.
- Everything else: Zapier, Make, n8n or a webhook covers almost any tool.
As leads come in, the system should match duplicates by phone and email. When a buyer who already enquired comes back through another portal, that enquiry belongs on their existing record. It also tells you something useful: they're actively shopping.
Step 2: Assign every lead instantly
Decide in advance who gets each lead:
- Round-robin spreads leads evenly across agents in the rotation.
- Owner by source works well when one person handles a particular portal or project.
- Manager assigns suits small teams, but only if the manager gets an alert straight away.
Whoever gets the lead should be alerted immediately, with the property, budget and source visible at a glance.
Step 3: Call within minutes, and measure it
Set a response-time target, such as 15 minutes during working hours, and track it for every agent. Leads that pass the target should alert a manager.
This matters more in real estate than almost anywhere else. A buyer who enquired about three projects will visit the one that called first. We cover the research in Speed to lead: why the first reply wins the deal.
Step 4: Use a pipeline built around site visits
Generic sales stages don't fit property sales well. A pipeline that matches how deals actually move might be:
- New enquiry
- Contacted
- Site visit scheduled
- Site visit done
- Negotiation
- Booked (won)
- Lost, with a reason: budget, location, bought elsewhere, not reachable
Every lead should always be in exactly one stage with a clear next step and date. "Follow up sometime" isn't a next step.
Step 5: Follow up more than you think you need to
Property is a slow, high-value decision. A practical cadence for a new enquiry:
| When | Touch |
|---|---|
| Within 15 minutes | Call. If there's no answer, send a WhatsApp message with project details |
| Day 1 | Email with floor plans, price sheet and location map |
| Day 3 | Call, and offer two specific site visit slots |
| Day 7 | Share something new: a different unit, an offer or a construction update |
| Day 14 and monthly | Short check-in until they buy or say no |
Templates for each step save agents from rewriting the same message dozens of times a day.
Step 6: Track cost per site visit, not cost per lead
The numbers that matter in real estate marketing:
- Cost per site visit by source and campaign
- Site visit to booking rate by agent
- Cost per booking by source
When you can see these by source, it often turns out that one portal produces plenty of enquiries and few visits, while one campaign produces fewer leads but most of your bookings. Move budget accordingly.
If you run Meta ads, send your pipeline stages back to Meta as well. When Meta knows which leads booked a site visit, it can find more buyers like them. See Meta Conversions API for lead ads.
How TracelyCRM fits
TracelyCRM is a lead management CRM built for teams like this:
- Lead sources: Meta, Google, website forms, portal email forwarding, Zapier and webhooks feed one inbox, with duplicates matched by phone and email.
- Lead routing: round-robin, owner by source or manager-assigned, with alerts and response-time targets.
- Pipeline with custom stages for site visits and negotiation, plus filters by project, source and tag.
- Calendar and booking for scheduling site visits with reminders.
- AI agents that follow up on WhatsApp and email and offer visit times, starting in approve-first mode.
- Agency mode if you run marketing for several builders or brokerages.
Each workspace has its own country, currency, timezone and phone code, so it works the same whether you sell in Mumbai, Dubai or London.
Frequently asked questions
Can I get 99acres and MagicBricks leads into a CRM automatically?
Yes. The most common method is forwarding each portal's lead alert emails to your CRM's private lead address, where they become leads automatically. Set up an auto-forward rule in Gmail or Outlook once and every new enquiry follows.
What's the best CRM for a small real estate team?
One your agents will actually use. Look for automatic lead capture from your sources, instant assignment, WhatsApp and call shortcuts, and a pipeline built around site visits. Big all-purpose CRMs can work, but they often take months to configure for this.
How do I stop agents from fighting over leads?
Use automatic assignment (round-robin or owner by source) and make ownership visible on each lead. When the system decides who gets a lead, there's nothing to argue about.
